How to manage freelancers and clients in one workspace
A practical guide to running client and freelancer work in one place — projects, task assignment, time tracking, meetings, files, and billing — with TaskFlow.
Most client–freelancer relationships are scattered across email, chat apps, spreadsheets, a separate time tracker, and a file drive. Work falls through the cracks because nothing is connected. TaskFlow brings the whole workflow into one workspace so clients and freelancers see the same projects, tasks, deadlines, and tracked time.
Start with projects, then assign tasks
Group work into projects with a status, deadline, and progress. Inside each project, create tasks with a priority, due date, and an assigned freelancer. Clients get a clear view of what's in progress, what's overdue, and what's done — without asking for status updates.
On the Free plan you get up to 5 projects and 20 tasks; Pro raises this to 10 projects and unlimited tasks; Expert is unlimited projects and tasks.
Invite freelancers with a link
Clients invite freelancers with a secure invite link. The freelancer signs up, joins the workspace, and immediately sees the tasks assigned to them. One freelancer can work with multiple clients, and one client can work with multiple freelancers — the relationship is many-to-many, so nobody needs a second account.
Track time where the work happens
Every task has a built-in start/stop timer. Freelancers track time on the task itself, and stopped sessions roll up automatically into the timesheet with Today, This Week, and This Month views. There's no separate time-tracking tool to reconcile at the end of the month.
Keep communication and files in context
Direct messages, group chats, file sharing, and meeting scheduling all live in the same workspace as the work. When a freelancer has a question about a task, the conversation and the files stay attached to the project — not lost in an inbox.
Billing stays with the client
The workspace owner's plan controls limits and features, so a freelancer on a Free plan can still join a paying client's Pro or Expert workspace and use those features there. Clients upgrade or downgrade anytime from the Billing page.
